Data stored on the device

ClubMode stores app settings and preferences, saved scoring presets, active and saved tournament data and results, participant names, the previous-player list, custom rules and missions, PDF Creator Studio branding and design data such as the club name, club logo and custom themes, downloaded font packs, and the locally cached Premium entitlement and required purchase metadata on the device. This data is used only to provide the requested app functions and is not transmitted to the developer except in the export, local-broadcast, font-download, app-store, external-link, and contact situations described below.

No accounts, advertising, analytics, or tracking

ClubMode does not create user accounts, show advertising, use analytics services, build advertising profiles, or track activity across apps and websites. ClubMode does not send tournament or participant information to ClubMode servers.

Files, logos, and PDF exports

When you choose a club logo or import a .clubmode file, ClubMode reads only the file you select. Imported tournament data, club names, logos, and PDF designs are stored locally. An exported .clubmode file can contain participant names, tournament settings, matches, progress, results, and standings. PDFs and .clubmode files are created on the device. Saving, printing, or sharing is handled by the operating system and the destination you select, which may receive the file data. ClubMode does not upload these files to its own servers.

Camera and QR-code scanning

Camera access is used only when you choose to scan a scoreboard connection QR code. Camera images are processed on the device to recognize the code, are not stored, and are not sent to the developer. You can enter the connection key manually instead and can revoke camera permission in the device settings.

Optional font downloads

When you request an optional regional font pack for the interface or PDF export, ClubMode downloads the selected files over HTTPS from its server hosted by STRATO GmbH, Otto-Ostrowski-Straße 7, 10249 Berlin, Germany. The request necessarily transmits the IP address, request time, requested file, and standard HTTP metadata. STRATO states that full visitor IP addresses are stored for attack detection and defense for no more than seven days. The requested download is processed under Article 6(1)(b) GDPR; security logging is based on Article 6(1)(f) GDPR. No tournament names, participant names, purchase data, or app-specific device identifiers are transmitted.

Local scoreboard broadcasting

When the organizer starts scoreboard broadcasting, the current tournament state—including participant names, tournament configuration, match assignments, custom game-mode information, live progress, results, and standings—is transmitted to devices that join with the session QR code or connection key. The organizer’s device temporarily processes each connected display’s chosen name, local IP address, and connection time to manage the session. This connection information is kept only in memory and cleared when the display disconnects or the session ends. The transfer stays on the local network or hotspot and does not pass through ClubMode servers. Connected displays may be publicly visible at the venue.

Website and email links

When an external website or email link is opened, the corresponding browser or email app processes the action under its own privacy terms. If you contact the developer, the information you provide is processed to answer the request and, where applicable, to take steps before entering a contract or to protect legitimate interests. Contact data is retained only as long as necessary and as required by statutory retention obligations.

Premium purchases and restoration

ClubMode offers an optional permanent Premium unlock as a non-consumable in-app purchase. Payment is processed by Apple or Google. ClubMode does not receive full payment-card details. The app receives the product identifier, purchase status, transaction or purchase identifier, and store verification data needed to unlock, cache, complete, and restore Premium. The entitlement and required purchase information are stored locally on the device. This information is not sent to a ClubMode verification server. Restoring purchases asks the relevant app store for purchases linked to the store account currently used on the device.

App stores

Apple or Google independently processes information connected with downloading, installing, updating, reviewing, purchasing, and restoring apps or in-app products. ClubMode has no control over this store-side processing. The privacy terms and account settings of the respective app-store provider apply.

Legal bases and service providers

Local processing and functions requested by the user, including exports and local scoreboard broadcasting, are provided under Article 6(1)(b) GDPR. Contact enquiries are processed under Article 6(1)(b) or 6(1)(f), statutory obligations under Article 6(1)(c), and font-server security logs under Article 6(1)(f). Service providers acting for the developer, currently STRATO GmbH for hosting, are contractually required to protect personal data, use it only for the specified purpose, and provide an appropriate level of protection.

Deletion and retention

Local app data remains on the device until it is deleted through an available app function, overwritten, the app data is cleared in the operating-system settings, or the app is uninstalled. Entries in the previous-player list can be deleted individually. Removing local data cannot remove copies that the organizer previously exported or shared.

Participant names and minors

ClubMode does not ask participants to create accounts. The tournament organizer decides which names or labels are entered. Organizers should use only the information needed for the event and ensure that they are permitted to enter it, particularly when participants are minors. Nicknames or initials can be used instead of full names.

Your rights

Under applicable data-protection law, you may have rights of access, rectification, erasure, restriction of processing, data portability, and objection. You may also lodge a complaint with a competent supervisory authority, in particular the Bavarian State Office for Data Protection Supervision (BayLDA), Promenade 18, 91522 Ansbach, Germany. Because ClubMode does not receive locally stored tournament data, requests concerning that data must generally be handled directly on the device.

Changes to this policy

This policy will be updated if the app adds features that materially change data handling, such as advertising, analytics, online accounts, cloud synchronization, or server-side purchase verification. The applicable privacy policy is always available inside the app.
